iamota HR is an internal tool used by iamota team members to request and manage time off. It is not open to the public and holds no information about anyone outside the iamota team.
This notice covers this tool specifically. iamota’s general privacy policy is at iamota.com/legal/privacy-policy.
What it holds
- Account details from your iamota Google Workspace account — your name, work email address, profile picture and Google account identifier.
- Employment details needed to calculate entitlements — your hire date, province, employment type, manager and any end date.
- Time-off records — the dates you request, which type of leave, any comment you choose to add, and the approval decisions made on the request.
- Activity records — sign-in times, and a log of actions taken in the tool such as who approved a request and when.
It does not hold payroll, banking, benefits, performance or health information. Comments on a request are optional — there is no need to give a reason for time off.
Why
To administer time off: calculating your entitlement and balance, routing requests for approval, and giving the team enough visibility of who is away to plan work. This is part of managing your employment relationship with iamota.
Who can see it
- You can see your own balances and requests.
- Your manager can see and approve requests from their direct reports.
- People with the Resourcing or Admin role can see time off and balances across the team, in order to plan capacity and administer the system.
- Approved time off is visible to the wider team — your name and the dates you are away appear on the shared team calendar. The type of leave and any comment you added are not shown there.
Where it is held
The application and its database are hosted on Fly.io infrastructure in Canada. Sign-in is handled by Google Workspace, so Google processes your sign-in as part of providing your iamota account. Information is not sold, and it is not shared for advertising or marketing.
How long it is kept
Time-off records form part of iamota’s employment records and are kept for as long as needed for that purpose, including after you leave. Your ability to sign in ends when your iamota Google account is closed.
Your information
You can see your own records in the tool at any time. To correct something, ask an admin or People Ops. For any other question about your personal information, or to ask about access, correction or deletion, contact privacy@iamota.com.
Changes
If this notice changes materially, the team will be told. The date at the top shows the most recent update.
